Start with the object being changed
A mailbox is the account that holds messages. A mail app is an interface used to read them. A cleanup service is another participant with permission to act on them. Separating these concepts helps you ask the right questions before connecting anything. An action that changes the underlying mailbox can matter across devices, even when it was started in a different application.
Name your actual problem
Too many visible messages, too much storage and too many incoming interruptions are three different complaints. A cleaner-looking inbox might leave storage unchanged. Removing old mail might do nothing about tomorrow’s newsletters. Write the problem in one sentence, with an example you can check. That sentence should determine the experiment, rather than a feature list deciding what changes you make to your account.
Keep responsibility visible
Choose who owns the mailbox and who is allowed to make changes. If you are helping someone else, the owner should understand the proposed selection and action before execution. Know the boundary before connection
Consult the current supported-provider instructions for your exact account. Organization-managed accounts may involve policies outside a consumer guide’s scope. Stop if an authorization asks for access you do not understand. The next useful step is an account inventory: provider, account owner, current applications and existing automated actions. That small map prevents confusion between changing a view, changing a folder and deleting stored messages.
