Write down what prompted the cleanup: a storage warning, difficulty finding current correspondence or repeated unwanted notifications. Do not use message count as a substitute for the provider’s storage information. These observations describe different problems and should lead to different experiments rather than one broad delete-everything operation.
Choose an observable result
For clutter, the useful result might be finding current messages without scrolling through old notifications. For storage, it might be an observed change in the provider’s reported usage after an appropriate action. A number can take time to update, so read the provider’s current explanation before concluding an action failed. Do not repeat destructive steps merely because one display has not yet changed to your expected value.
Check where large items live
If storage is the issue, inspect the provider’s own breakdown and available search controls. A mailbox may be only one participant in an account’s storage allocation. This guide does not assume a cleaner can manage every file or service involved. An attachment-heavy group deserves its own review because a few messages may contain important material. The largest item is not automatically the least valuable one to keep.
Match the tool to the remaining job
